Enter a quantity and a unit price and the line total appears; the subtotal, each tax line and the grand total follow automatically. Tax rates sit in their own cell that the formula reads, so if a rate changes you correct one number rather than rebuilding the sheet. The .docx version is the same document laid out for printing and signing, with bracketed placeholders to type over. Word cannot carry live formulas, so the amounts are yours to fill in — take this one if you are writing receipts by hand or handing over a signed copy, and the Excel one if you want the arithmetic done.
A receipt proves a payment was made. That makes it a different document from an invoice, and it is what your customer keeps for their own bookkeeping and tax records. Every template here already has these fields laid out.
Your business name and address, and the name of the customer who paid. If you collect sales tax, your tax ID or EIN belongs here too — a business customer may need it for their own records.
The date the payment was received, not the date the work was done. A sequential receipt number makes the document findable later, for you and for anyone auditing either side.
A plain description of the goods or services. "Consulting" is thin; "Website redesign — deposit, phase 1" tells the story a year from now when neither of you remembers.
Subtotal, sales tax shown on its own line at its own rate, and the total. Bundling tax into one figure makes the receipt useless for a customer claiming it back, and harder for you to reconcile.
Cash, card, e-transfer or cheque. On a cash receipt, note the amount tendered and the change given; on a deposit, note the balance still outstanding so nobody is surprised by the next invoice.
If the payment settles an invoice, name it. That single field is what lets you match a payment to a bill without going back through your records line by line.
